Festival Rules & Policies

Complete guidelines for vendors, attendees, and participants at the Cuban Sandwich Festival. Please read carefully and ensure compliance with all rules and regulations.

Vendor Setup & Operations

Setup Requirements

  • Vendors must arrive for setup between 6:00 AM - 8:00 AM on event day
  • All vendor areas must be fully set up and ready by 9:30 AM
  • Vendors are responsible for bringing their own tables, chairs, and equipment
  • All electrical equipment must be properly grounded and UL-listed
  • Setup must be completed within assigned vendor space boundaries only

Operating Hours

  • Festival hours: 10:00 AM - 6:00 PM
  • All vendors must remain open for the entire duration
  • Early closure requires written approval from Festival Management
  • No vendor may begin breakdown before 6:00 PM (Unless Permitted Otherwise)
  • All vendor areas must be completely vacated and cleaned by 8:00 PM

Space & Display Standards

  • Vendor displays must remain within designated space boundaries
  • Maximum tent/canopy height: 10 feet
  • All displays must be professional and family-friendly
  • No vendor may block pedestrian walkways or emergency access
  • Signage must be securely fastened and weather-resistant

Food Safety & Health Requirements

Food Handling Standards

  • Proper food storage temperatures must be maintained at all times
  • Hand washing stations or sanitizer must be readily available
  • All serving utensils and surfaces must be sanitized regularly

Menu & Ingredient Requirements

  • All menu items must be clearly labeled with prices
  • All food must be served in disposable containers

Safety & Security Policies

Fire Safety

  • Fire extinguisher required for all cooking operations
  • Propane tanks must be properly secured and certified
  • Clear evacuation path must be maintained at all times

Electrical Safety

  • All electrical connections must use GFCI-protected outlets
  • Extension cords must be rated for outdoor use
  • No daisy-chaining of power strips or extension cords
  • Electrical equipment must be elevated off ground level
  • Vendors responsible for electrical safety inspections if required

Weather Preparedness

  • All tents and displays must be properly anchored for wind
  • Vendors must provide their own weather protection
  • Event continues rain or shine - no weather-related closures
  • Emergency shelter plans must be established for severe weather
  • Festival Management reserves right to suspend operations for safety

Prohibited Items & Activities

Strictly Forbidden

  • No alcoholic beverages without proper licensing
  • No weapons, drugs, or illegal substances
  • No solicitation outside assigned vendor areas
  • No loud music or amplified sound without approval

Restricted Activities

  • No smoking within 25 feet of food service areas
  • No distribution of materials unrelated to vendor business
  • No subletting or sharing of vendor spaces
  • No early breakdown or departure without permission
  • No dumping of waste outside designated areas

Competitive Restrictions

  • No selling of items outside approved menu/inventory
  • No poaching customers from other vendor areas
  • No negative advertising or disparaging other vendors
  • No price collusion or coordinated pricing schemes
  • No blocking or interfering with competitor displays

Payment & Financial Policies

Payment Processing

  • Vendors encouraged to accept multiple payment methods
  • Cash handling must follow proper security procedures
  • Credit card processing systems must be PCI compliant
  • Sales tax collection and remittance is vendor responsibility
  • All transactions must provide receipts when requested

Fees & Revenue Sharing

  • Vendor spot fees are non-refundable and paid in advance
  • No additional fees or commissions charged on sales
  • Contest participants receive 40% discount on spot fees
  • Add-on services (tables, tents) charged at published rates
  • All fees include basic utilities and waste disposal

Violation Consequences

Warning System

  • First violation: Verbal warning and corrective action required
  • Second violation: Written warning and probationary status
  • Third violation: Immediate removal from festival grounds
  • Serious safety violations may result in immediate removal
  • All violations documented for future event consideration

Penalties

  • Removal from festival: No refund of fees or expenses
  • Future event ban for serious or repeated violations
  • Legal action for damages to festival or other vendors
  • Forfeiture of contest eligibility for rule violations
  • Additional cleanup fees for improper waste disposal
